What free plans include
Most free CRM software for real estate includes contact storage, a basic pipeline, simple email and a small number of users. Some include a mobile app and basic reports. That is enough to organize your contacts and see your deals in one place.
But free plans have real limits. You often get a cap on contacts, a cap on users, and no access to the features that actually save you time. The contact limit is the biggest one. If you can only store 100 or 500 contacts, you will outgrow it fast.
Free real estate CRM software is worth it to learn the habit of using a CRM. If you have never used one, a free plan teaches you to log calls, tag leads and move deals through a pipeline. That habit is valuable. But once you get regular leads, you will need more. Our best CRM for real estate guide breaks down what to upgrade to.
What free plans leave out
What free plans usually do NOT include: built-in texting, advanced automation and follow-up plans, IDX website, MLS integration and phone support. These are the features that make a real estate CRM actually useful.
Texting is the big one. In real estate, text is the fastest way to reach a lead. If your free CRM cannot send texts, you are still doing it by hand. And without automation, you have no follow-up system. You are back to remembering who to call each day.
An IDX website and MLS integration are also usually paid features. If you want a home search site that captures leads, you need a paid plan. And phone support matters when something breaks. Free plans often give you email support or community forums only.
The 5 tools we tested
We signed up for five free real estate CRM plans to see what you actually get. We tested contact limits, texting, automation, pipeline features and mobile apps. We wanted to know which ones are usable for a real agent, not just a demo.
The tools we tested included a free trial of an all-in-one platform, HubSpot free CRM, Zoho CRM free edition, a free trial of a real estate-specific CRM and a simple Google Sheet setup. Each has a different trade-off between features and limits.
We did not test paid plans. This is about what you get for free, honestly. Some tools have great free plans that work for a few months. Others are so limited that you need a paid plan from day one. We tell you which is which.
How we tested
We set up each tool with 50 test contacts, created a simple pipeline, and tried to build a follow-up plan. We checked if we could send texts, schedule emails, set call tasks and view reports. We also tested the mobile app if one existed.
We looked at how easy each tool was to learn. A free CRM is only useful if you will actually log in every day. If the interface is confusing or the mobile app is broken, it does not matter that it is free. You will not use it.
We also checked the limits. How many contacts can you store? How many users can you add? What happens when you hit the limit? Some tools let you keep using the free plan with a contact cap. Others lock you out until you upgrade.
What we found
The all-in-one platform free trial gave us the most features from day one. CRM, texting, automations, websites and AI were all included during the trial. The catch is that the trial ends, and then you need a paid plan. But you get to test the full system before you pay.
HubSpot free CRM was good for organizing contacts and simple pipelines. It is not built for real estate, and the automation features need paid plans. But for a brand new agent who just wants to track contacts, it works.
Zoho CRM free edition works for very small teams. It has a free tier with a few users and limited automation. The setup takes time and it is not real estate specific, but it is a real CRM with no cost.
A Google Sheet is free forever but has no automation at all. It is a starting point for a brand new agent with under 100 contacts. Plan to move to a real CRM as soon as you get regular leads.
When free stops being enough
Free real estate CRM software stops being enough when you get regular leads. Once you have more than 100 to 200 contacts, you need reminders, tags, a pipeline and automated follow-up. A free plan cannot do all of that.
The honest truth is that a paid tool usually pays for itself with one extra closing. If a CRM helps you follow up with one lead you would have lost, it has paid for the whole year. The cost of losing deals is far higher than the cost of a CRM.
Also check if your brokerage already gives you a CRM. Many brokerages include a CRM for their agents at no extra cost. Before you pay for your own, ask your broker what is included. And if you want a real estate follow up system that actually runs itself, that is usually a paid feature.
The honest verdict
So what is the best free real estate CRM? For most agents, it is the free trial of an all-in-one platform, because you get the full system from day one. If you want something free forever, HubSpot or Zoho are the most common picks, but you will soon need paid add-ons for real estate follow-up.
A free plan is a starting point, not a forever home. Use it to learn the habit of using a CRM. Then move to a paid tool that includes texting, automation and follow-up plans. That is where the real value is. Ready to move up? Book a free call and we will set it up for you.
Frequently asked questions
Is there a free real estate CRM?
Yes. HubSpot and Zoho offer free plans, and some all-in-one platforms offer a free trial with all features. Free plans usually limit texting, automation and users.
What is the best free real estate CRM?
For most agents, a free trial of an all-in-one platform is best because you get the full system from day one. For a free-forever option, HubSpot or Zoho are common picks.
Do free CRM plans include texting?
Usually not. Built-in texting is one of the features free plans leave out. If text follow-up matters to you, you will likely need a paid plan.
When should I switch from a free CRM to a paid one?
When you get regular leads and have more than 100 to 200 contacts. A paid CRM pays for itself with one extra closing you would have otherwise lost.
